How to auto-archive newsletters in Gmail

Archive, don't delete

Newsletters are worth keeping — you subscribed for a reason — they just don't belong in your inbox demanding attention. Archiving is the right move: the message leaves your inbox but stays fully searchable in All Mail, so you can pull up that recipe or release note whenever you want. Deleting, by contrast, puts it on a 30-day countdown to gone.

Create a filter that skips the inbox

Gmail can archive newsletters the moment they arrive, using a filter. The cleanest trigger is the sender's address, but you can also match a whole category.

1. Open a newsletter, then use the search box to search for its sender, e.g. from:news@brand.com.
2. Open the search options (the sliders icon) and click "Create filter".
3. Check "Skip the Inbox (Archive it)".
4. Optionally check "Apply the label" and pick or create a "Newsletters" label so they're grouped.
5. Check "Also apply to matching conversations" to clear existing ones, then click "Create filter".

Catch whole categories at once

Filtering one sender at a time is slow. To cover more ground, filter by category. A search like category:promotions or category:updates matches a broad swath of automated mail, and you can create a skip-inbox filter from it the same way. Be a little careful here — categories occasionally catch something you'd want to see, so add a label rather than deleting, and glance at it for the first week.

The limit of manual filters

Filters are per-sender rules you build and maintain by hand. They work, but they only catch senders you've already set up. Every new newsletter you sign up for starts landing in your inbox again until you filter it too — so the maintenance never really ends.
