Gmail archive vs delete: which should you use?

Archiving removes mail from your inbox but keeps it searchable forever. Deleting starts a 30-day countdown. Here's when each one makes sense.

What archiving actually does

Archiving takes a message out of your inbox without throwing it away. It moves to All Mail, stays fully searchable, and you can pull it back up in seconds. Nothing is lost — it's just no longer sitting in front of you. For the vast majority of email, this is what you want.

What deleting actually does

Deleting moves a message to Trash, where Gmail keeps it for 30 days and then removes it for good. After that it's gone — you can't search it, and it won't come back. Deleting does free up storage, which archiving doesn't, since Google's free 15 GB is shared across Gmail, Drive, and Photos.

When to archive (almost always)

If there's any chance you'll want to look something up later — a receipt, a booking confirmation, a newsletter, a thread with a colleague — archive it. Storage is rarely the real constraint; findability is. Archiving gives you a clean inbox and keeps the history intact.

When to delete (rarely)

Reserve deleting for genuine junk: spam, one-time verification codes, and large attachments eating your storage quota. To find the storage hogs, search has:attachment larger:10M and remove what you no longer need.

How to do each in Gmail

  1. Archive: hover a message and click the box-with-a-down-arrow icon, or press the E key with a message open.
  2. Delete: click the trash-can icon, or press # (Shift+3). It goes to Trash for 30 days.
  3. In bulk: run a search, select all matching conversations, then click Archive or Delete for the whole set.
